Events Assistant - 9 Months FTC

Oxford Analytica is a global analysis and advisory firm enabling the world’s leading organisations and governments to navigate complex global environments that impact strategy, policy, operations and investments.

To support the Conference Manager with the organisation and management of our Oxford Analytica Annual Conference: Global Horizons. In its 35th year, the Conference is a well-established and respected event with political and business leaders, global thinkers and scholar experts attending.

• Setting up processes/spreadsheets for conference speakers and delegates
• Assisting with invitations to speakers and delegates
• Updating the Global Horizons website with all necessary information
• Providing administrative support to our sponsors
• Helping with a wide range of conference logistics
• Working closely with the venue and related suppliers
• Supporting the Conference Manager in marketing and business development
• Developing and maintaining the key database
• Proof reading all conference promotion materials and documentation
• Assisting with CRM system management (Salesforce)
• Assisting with Contributors database management
• Setting up the monthly conference calls and all associated documents and correspondence
• Setting up the Contributors monthly newsletter
• Support with other smaller events during the year.


• Relevant work experience and ideally an understanding of event management
• Excellent organisational skills
• Meticulous attention to detail
• Excellent written and spoken English
• Excellent knowledge of Microsoft Office (Word, Excel, Outlook, PowerPoint)
• Confident telephone manner
• Flexible work attitude
• Team player who works well under pressure
• Meets any required visa regulations and must be able to legally work in the UK

• Experience in a client facing role
• Understanding of Salesforce is desirable but not essential
• Understanding of MailChimp and mail merging is desirable but not essential

• The fixed term contract will be approximately for 9 months from end of August 2018 to beginning June 2019
• Working hours: 21 hours per week (days to be discussed in interview)
• Salary: £19K-21K per annum (pro rata) + benefits
